Hire & Event Terms and Conditions 

All Moto Bella Vespa Event booking terms and conditions can be viewed below. They cover all aspects of your booking and what to do in the event of any changes.

The client agrees with Lightworker Institute Pty Ltd TA Moto Bella Vespa (MBV)that:

-Any quotation provided by the Supplier to the client for the proposed supply of goods or services is valid for 30 days.

-A 50% deposit is required to confirm the hire of Moto Bella Vespa (MBV) and is due upon acceptance of the quote. This is required to ensure the requested date is confirmed for the Client and to prevent MBV accepting any other bookings for that time.

-Following the deposit confirmation payment, the final balance payment is required no later than 14 days before the event, unless other terms are agreed upon in writing beforehand.

-Any Client who does not pay any monies owing to MBV by the due date will be handed directly to our debt collector/legal representative to proceed with collection. Once handed over Moto Bella Vespa will no longer have control of the account and our debt collector/legal representative will resolve the issue directly with the Client.

-Unless otherwise agreed, the minimum hire time for Moto Bella Vespa is four-hours.

-Should the Client's event be rescheduled, MBV will do our best to accommodate this change, but no guarantee is made regarding the availability of MBV for the new date(s).

-In the case of event cancellation by the Hire, no refund of monies already paid will be returned, but the Client will have a credit with MBV for 12 months from the date of cancellation, less $150 administration fee.

-The Client will communicate in writing any changes to the proposed use of MBV as far in advance as possible, and acceptance of any changes to the agreed use is accommodated at the discretion of MBV.

-In the event that the Client is providing their own DJ, the Client is responsible for ensuring that the DJ is competent in their use of the equipment. The DJ will be under the supervision of MBV's Operations Manager, and MBV will provide an onsite orientation of proper use to the DJ. The Vespa cannot be utilised until this orientation has taken place. In the event that the Client is providing their own DJ, they will be liable to pay for any damages to the Vespa caused by misuse, including cleaning charges, if deemed necessary by Moto Bella Vespa.

-If any or all the quoted requirements change whatsoever further fees will apply and therefore be charged to you, the Client. Unless otherwise agreed in writing.

-Any additional labour, equipment or materials required after confirmation and the Client’s receipt of goods or services will be an additional charge to the Client.

-The Client will provide venue access information and ensure MBV can safely access the venue on the date(s) of the event. If MBV cannot access the venue for any reason within the control of the Client, MBV is not responsible for delays in providing our service. MBV requires access at least 30minutes prior to the event.

-If requested, the Client will provide access to the site before the event to ensure the agreed service can be provided.

-The Client will provide contact details of the appropriate contact person on site for the event.

-MBV will be under the supervision of the MBV Operations Manager for the duration of the event.

-Wet Weather: MBV reserves the right to take whatever action deemed necessary if heavy, consistent rain occurs or if possible, harm or danger is imminent to equipment or any persons. MBV do not offer refunds for washed out events.

-Hot Weather: MBV reserves the right to take whatever action deemed necessary if extreme hot weather is encountered for the duration of bump-in, event and bump-out.

-If any MBV personnel are on site longer than five hours, it is the Client’s responsibility to ensure that food and liquid drinks (including fresh drinking water) are always available on site.

-The Client agrees to ensure that no party will interfere with or tamper with MBV, and shall be held responsible during the event for any injury sustained by public, event staff, performers, or guests, due to failing to follow the instructions of the MBV Operations Manager.

-Where the hire is over multiple days and the equipment is to be set up and left overnight/days, it is the Client's responsibility to ensure adequate security services have been employed to protect the equipment from theft and/or damage.

-The Client agrees to ensure that all space and power requirements, provided in advance of the event, and involving a pre-event site visit if requested, required by MBV are met.

-If circumstances arise where a threat or implied threat of harm, damage or violence to MBV staff or equipment, MBV reserve the right to cease providing services. If the Client can resolve the threatening situation within 20 minutes, MBV will resume services. If the situation is unable to be resolved, MBV will not resume providing service and the Client will receive no refund of booking cost. Our security & safety at your event remains the responsibility of the client at ALL times.

-Any damage to MBV equipment during the Client’s event caused by the Client, Client’s guests, or any other person in attendance at the event, whether invited or not, will result in the cost to repair/replace the equipment. The client will also be responsible for all financial recovery costs if repair/replacement costs are not paid.

-The Client is fully responsible for our security & safety while attending your event. This also includes during set-up & more importantly, pack down at the end of the event. This includes the safety of our staff, equipment & vehicle until we leave the premises of the venue.

-The client gives permission for all photos taken during the event to be used on the MBV website, social media and/or promotional material. We will remove images if requested in writing & also comply with not displaying any images upfront if notified in writing only beforehand.

-The Client agrees that in all circumstances, MBV's liability is limited to an amount equal to the booking cost and will not be liable for indirect or consequential damages.

-MBV provides Public Liability Insurance for our participation in the Client's event. All other insurances and permits must be provided by the Client

-MBV reserves the right to cancel the hire and/or services requested if the Client:

  • Fails to pay any sum of monies payable to MBV pursuant to these terms and conditions on the due date of payment (including deposits)

  • Or if MBV forms the opinion that damage may result to the equipment, stated in this quotation

  • Or non-compliance of safety issues may result to the equipment, personnel or event stated in this agreement

  • Or if the Client (being of natural person) has an order of bankruptcy made against him or her

  • Or if any application for the liquidation of the Client (being a company) is made.

  • Or the client becomes difficult to work with.

In paying the deposit or signing the agreement, you acknowledge that you have read, understand & accept these terms & conditions.
